Booking Policy

The purpose of the venue's booking policy is to provide management with general guidelines for efficient operation of the facility. Nothing contained within those guidelines is intended to limit management's professional discretion in booking or negotiating contracts that would be in the best interest of the venue, management and the City of Miami Beach.

  1. All booking holds must state:

    •  specific venue,

    •  dates of: load-in, rehearsals and shows

    •  a name of an authorized contact person with current phone number and fax number or email address.

  2. All requests should be directed to:
         Gary Lund, Theater Director
Colony Theater and Byron Carlyle Theater

         (305) 674-1040 ext 2
         GaryLund@MiamiBeachFL.gov

  3. All requests must be accompanied by a $500.00 security deposit. Not-for-profit organizations should submit a completed IRS 990 Form from the last fiscal year.

  4. No prospective lessee will be granted dual holds in the Byron Carlyle and Colony Theater for the same event.

  5. Contracts will be issued no more than 12 months in advance of the event.
If an organization is unable to fully execute the contract within 30 days of issuance, management reserves the right to release the hold.
  6. Challenges are official requests made by another organization interested in a date you have on hold.
If a challenge is made for a client’s hold dates, the client will be notified in writing (mail, fax or email). The client will have 3 business days from the date on the notification letter in which to contract for the hold date(s) and provide a non-refundable deposit.
If the contract and deposit are not received within the 3 business day period, the dates will be released for contract to the challenging group.
  7. The venue technical questionnaire is a mandatory, integral part of the booking to allow proper preparation of the contract. This questionnaire must be returned with the lease agreement.

  8. Please contact the venue Production Manager for an estimate of your technical costs.
